Organizational factors
Gallo had a somewhat complex contract process that required an organizational level of control through a Contract Authorization Team acting as the main contact point for legal, business and suppliers. Furthermore, some of the business partners did not have experience planning and deploying an enterprise system like ACM in the past. During the project, the potential for scope creep was evident since requirements would often change, making the implementation an iterative process at times.
Pioneering a new system
Gallo recognized the potential of the new system. As a part of Shelby’s experience, Gallo was one of the only clients using ACM for every function including Contract Repository, Contract Workspace and Clause Library features. In rolling out new functionality, the project team anticipated bugs with the new system and would need to manage these to maintain project timelines.
Feature gaps in 9r1
One of the largest issues with Ariba was that no workflow existed for ACM out of the box - a key requirement for Gallo in creating a departmental oriented contract management process. As the premier implementation of ACM 9r1, Shelby spent much of its time working through issues on the new platform as well as developing a custom workflow process to meet Gallo's needs.
