During this engagement, Shelby essentially acted as the liaison between the Company and Ariba by providing objective insights and goals. Shelby led key Company personnel as well as Ariba GSO staff by coordinating the overall global rollout of the project by tracking, escalating, resolving open issues and driving them to a successful, timely resolution. They provided process design guidance for meeting Company’s project requirements in addition to, standardizing contracts, assisting with the creation and execution of test cases, and providing the basis for executing change management and training approaches to increase end user adoption of the system. Shelby would also be critical in providing functional process expertise in key areas such as implementing the ability to collect contract overview information, designing contract templates, establishing a clause library, building a contract repository, establishing single sign-on, and testing integration design with SAP.
As part of their approach, Shelby also recommended the establishment of a phased rollout in order to ease the users into the new processes rather than slamming it in. This would give the project team time to integrate lessons learned prior to rolling it out to another geographical area. Furthermore issues that were tabled for future phases included - restructuring contracts templates and contract clause library, assessing regional and local language needs in APAC, and identifying data retention policies for ensuring alignment with corporation policies.
